Rental FAQs

How many guests can the Stage House accommodate?

The Stage House is able to fit a standard event size of 300 guests, although the space can hold a maximum of 600 seated at 60-inch round tables, 460 in our brand-new Starlight Theatre risers, 1000 floor-only theatre-style, or 1,200 in a reception-style setup. Inventory to accommodate these capacities will be rented at an additional fee.

What is the rental duration time?

You may access the venue for load-in beginning at 8:00 AM on event day. Your event time (during which guests are on-site) may run a maximum of 6 hours based on staffing included in the Basic Starlight Theatre Private Event Rental Package. Events must end no later than 11:59 PM.

Rental times may be extended beyond 6 hours or past 11:59 PM in full hour increments at the rate of $250 per hour with advance notice and related contracting (or $500 per hour if added on event day).

Load-out must be completed within 2 hours of guests’ departure/event conclusion unless otherwise approved. A $500 clean-up fee will be assessed for any items left beyond 10:00 AM the next business day following the event date.

 

How much is the deposit?

A non-refundable deposit of $5,000 is required upon signing the Facility Use Agreement to reserve the venue for your event date. No event date is considered reserved until the deposit is paid in full.

 

Can I bring in my own vendors?

Private Events at Starlight Theatre utilize four exclusive vendors who have extensive knowledge of the venue, its operations, staffing, training and processes, which enables them to operate seamlessly during events. These providers are proven entities which will ensure the success of your event. Starlight Theatre Event Services will facilitate all orders with All Seasons Event Rental (Event rentals e.g. additional tables and chairs), Hats Off to You (coat check services), Premier Parking Services (valet parking services), and Vista Productions (audio-visual).

Any vendors outside of those specifically listed above must be approved by Starlight Theatre Event Services and may be required to meet specific guidelines and insurance requirements set forth by Starlight Theatre through a Vendor Agreement. A copy of the Starlight Theatre Vendor Agreement is available upon request.

 

Can I bring in my own caterer?

Yes. Your caterer must meet specific guidelines and insurance requirements set forth by Starlight Theatre via a Catering Vendor Agreement. Starlight highly recommends that clients elect to use a pre-approved caterer, which has submitted proper paperwork and has knowledge of working in a unique space like Starlight Theatre. A full list of approved caterers and/or a copy of a Catering Vendor Agreement are available upon request. You can find our preferred caterers and bar service provider listed below.

If clients elect to pursue an outside caterer, the selected caterer is required to complete a Catering Vendor Agreement to provide services at Starlight and meet all associated requirements. Clients are responsible for soliciting completion of all required documents, including Catering Vendor Agreement, Certificates of Insurance at the requested limits, ensuring Caterer’s compliance with insurance, KCMO licensing, food handling liability, and other items outlined in the Catering Vendor Agreement.  Donated product is permitted at Starlight Theatre.

Can I bring in my own alcohol?

Yes, donated beer and wine is allowed but only if your bars are hosted (i.e., provided to guests at no additional cost).  In accordance with Regulated Industries, donated product may not be utilized at cash bars.  No hard alcohol donations are allowed. There is a corkage fee associated with donated beer and wine.  The service of donated product must be approved and agreed upon by your Event Services Manager.  Specific exceptions may apply.

 

Private Event Guest Information

How do I find out details about my event?
Contact the organization hosting your event regarding event details such as event times, seating, tickets, etc. 

 

Where do I park?
Private event guests park in the Zebra Lot on the East Side of the Starlight Theatre Campus.  Depending on the event (again, we recommend contacting your host organization for details specific to your event), guests enter either Gate 7 or Gate 8.
